Safeguardian UK Limited (“Safeguardian”, “we”, “us” or “our”) takes your privacy seriously. This Privacy Policy explains, in clear and simple terms, how we collect, use and protect personal data when you use the Safeguardian mobile application (the App).

This policy is written for a UK audience and complies with UK data protection law, including the UK GDPR and the Data Protection Act 2018. It is also designed to meet Apple App Store and Google Play Store requirements.

1. Who We Are

Safeguardian is a digital safeguarding platform designed to help organisations support children and vulnerable adults and to promote a strong culture of safeguarding.

Safeguardian UK Limited is the data controller for personal data collected through the App, except where we act on behalf of an organisation using Safeguardian (see section 8).

2. Personal data we collect

We only collect the data we need to provide and improve the App. This may include:

Information you provide

- Your name

- Your email address

- Your role or organisation (where relevant to your account)

Account and technical information

- A user ID created by our authentication system (AWS Cognito)

- Basic device or installation identifiers, used for security and diagnostics

App usage information and safeguarding analytics

- Which screens and features are viewed

- How often content is accessed

- How notifications are interacted with

This usage information may be analysed in aggregated and anonymised form to produce reports for organisations using Safeguardian. These reports help organisations understand how the App is being used, identify where additional safeguarding training or support may be needed, and identify unusual patterns of activity that could indicate a safeguarding concern.

Safeguardian’s analytics are designed to support safeguarding awareness and organisational improvement, not to monitor individual behaviour or performance. Reports provided to organisations do not identify named individuals.

These are collected to help keep the App stable, secure and reliable.

We do not collect:

- Payment or financial information

- Advertising data or data used for targeted advertising

- Location tracking data

- Health data

- Data used to track you across other apps or websites

3. How We Use Your Data

We use personal data only for the following purposes:

- Providing the App: creating and managing your account and giving you access to safeguarding content

- Security and reliability: authenticating users, preventing misuse, and fixing technical issues

- Improving the service: understanding how the App is used so we can improve performance, usability and safeguarding content

- Safeguarding insight for organisations: analysing anonymised and aggregated usage data to help organisations identify training needs, engagement gaps or potential safeguarding concerns

- Role-based content: showing information relevant to your safeguarding role

- Communications you have consented to receive, including Safeguardian newsletters and information about organisations or initiatives that support safeguarding and the welfare of vulnerable people

We do not sell your data and we do not use it for targeted advertising.

4. Marketing and communications

Where you have chosen to give your consent, Safeguardian may use your contact details (such as your email address) to send you:

- The Safeguardian newsletter, including updates about safeguarding guidance, features of the App and Safeguardian’s work; and

- Information about organisations, initiatives or services that support the welfare of children or vulnerable people, where we believe this is consistent with Safeguardian’s safeguarding purpose.

We will only send marketing or promotional communications where you have actively consented to receive them.

You can withdraw your consent at any time by:

- Using the unsubscribe link in any email we send; or

- Contacting us at admin@safeguardian.uk.

Withdrawing consent will not affect your ability to use the App or access safeguarding content.

Safeguardian does not allow third parties to use personal data for their own marketing purposes.

5. Legal bases for processing

Under UK data protection law, we must have a lawful basis for processing your personal data. We rely on:

- Performance of a contract: to provide the App and related services to you

- Legitimate interests: to keep the App secure, reliable and effective, and to provide anonymised usage insights to organisations in support of safeguarding and training

- Consent: where you have chosen to receive marketing or promotional communications from Safeguardian, or where consent is otherwise required

6. Account deletion and data deletion

You can delete your account at any time:

- In the App: go to Account → Delete Account

- By email: contact us at admin@safeguardian.uk

When your account is deleted, we will remove your personal data unless we are required to retain it for legal, regulatory or safeguarding reasons.

Please note that some safeguarding records may be retained by the organisation you are linked to, in line with their legal obligations.

Communication preferences can be updated independently of account deletion.

7. Your rights

You have rights under UK data protection law, including the right to:

- Access the personal data we hold about you

- Correct inaccurate data

- Request deletion of your data

- Restrict or object to certain processing

- Receive your data in a portable format

To exercise any of these rights, email admin@safeguardian.uk. You will not usually have to pay a fee, and we normally respond within one month.

You also have the right to complain to the Information Commissioner’s Office (ICO), although we encourage you to contact us first so we can try to resolve any issue.

8. Data sharing and service providers

We do not sell or share your personal data for commercial purposes.

We use trusted service providers to operate the App, including:

- Amazon Web Services (AWS) for hosting, storage and security

- AWS Cognito for user authentication

These providers process data only on our instructions and under GDPR-compliant agreements.

9. Organisations using Safeguardian

When you use the App as part of an organisation (for example a school, charity or club), that organisation may also be a data controller for certain safeguarding information.

In those cases:

- Safeguardian acts as a data processor on the organisation’s behalf; and

- The organisation is responsible for lawful use of safeguarding data and for obtaining any required consents.

Further details are usually set out in the organisation’s own privacy notices and contractual arrangements with Safeguardian.

10. Children and safeguarding

The App is designed to be suitable for users aged 9 and over and may be made available to children by invitation from an organisation, where the organisation determines what safeguarding content is accessible to those children through the App’s permissions functionality.

Safeguardian does not show advertising and does not use tracking technologies.

Organisations are responsible for:

- Deciding whether children should be invited to use the App

- Determining which content is made available to children via permissions

- Obtaining appropriate parental or guardian consent where required

- Ensuring safeguarding and data protection obligations are met

Safeguardian does not replace professional safeguarding judgement or statutory reporting duties.

11. Data security

We use appropriate technical and organisational measures to protect personal data, including:

- Secure AWS infrastructure

- Encryption in transit and at rest

- Role-based access controls

- Monitoring and logging

If a data breach occurs that poses a risk to individuals, we will notify affected users and regulators where legally required.

12. International transfers

Your personal data is stored and processed in the UK. We do not transfer personal data outside the UK or EEA unless appropriate legal safeguards are in place.

13. Data retention

We keep personal data only for as long as necessary to:

- Provide the App

- Meet safeguarding obligations

- Comply with legal and regulatory requirements

When data is no longer needed, it is securely deleted or anonymised.

14. Changes to this policy

We may update this Privacy Policy from time to time. The latest version will always be available in the App and on our website. Where changes are material, we will take reasonable steps to draw them to your attention.
